SUBJECT: Guidelines for Selection of Overnight Lodging

Below is a listing of overnight lodging facilities suggested by host agencies in each city where our programs are to be conducted.

If you elect to utilize the suggested lodging, here are the steps you should follow to secure reservations::

1. Call the facility at the number provided and advise the clerk that you plan to attend a seminar at the law enforcement agency hosting the program. Also mention that it is a Benchmark Professional Seminar program.
2. Clearly state the date and name of the program
3. Explain to the desk clerk that you are a government employee and prepared to offer proof of same upon registering
4. Get full details of how you might cancel your reservation without a penalty payment

Because of price restraints, you might want to first contact members of your department who have a knowledge of the area where the program is to be conducted and solicit from them their recommendations for overnight lodging. If they have previously attended programs or stayed in an overnight facility, they are aware of the financial restraints incurred by your department and may be able to advise you of facilities which can provide adequate lodging within the confines of your departmental budget. You might also talk with your purchasing officer in charge of employee travel and aware of such information. If you are a member of an automobile club such as AAA or similar group, make contact and ask for information. Travel agents might also be a good resource to contact. Finally, you might want to check the internet for suggested overnight lodging. Two such website to consider are hotels.com and trivago.com
